Job Description

Our client is an established asset management firm with their office located in Midtown, Manhattan. They are seeking a Receptionist to manage their front-desk office space, Monday-Friday, greeting visitors and assisting with administrative duties.

Responsibilities:

  • Provide a friendly and professional reception for high-profile clients and investors, ensuring they feel valued and respected upon arrival.
  • Arrange and oversee the scheduling of meetings, appointments, and travel logistics, ensuring all arrangements are seamlessly executed.
  • Draft, review, and refine various documents, including correspondence, reports, and presentations, ensuring accuracy and clarity.
  • Efficiently handle incoming phone calls, emails, and other communications, directing inquiries to the appropriate team members or departments promptly.
  • Oversee the receipt and distribution of mail and packages, ensuring timely delivery to the intended recipients.
  • Keep the reception area and office space clean, organized, and inviting, contributing to a positive work atmosphere.
  • Assist in organizing in-office events, such as breakfast meetings and luncheons, and support special projects as needed, showcasing adaptability and resourcefulness in a fast-paced setting.
  • Adhere to a high standard of corporate dress code, maintaining a polished and professional appearance at all times.

Qualifications:

  • 5+ years experience as a receptionist or administrator in a corporate setting
  • Excellent communication and interpersonal skills.
  • Strong organizational and multitasking abilities.
  • Proficient in Microsoft Office Suite and other office management software.
  • Ability to maintain confidentiality and exercise discretion.
