Reports to: SUPERINTENDENT
Terms of Employment: 12 MONTHS
Salary: Pay Grade OFF12-76- WILL BE DETERMINED BY EXP. AND EDUCATION
GENERAL STATEMENT OF JOB
The Executive Assistant to the Superintendent performs a wide variety of duties and reports to the Superintendent and the Board of Education. This position requires the highest degree of maintaining confidentiality, providing support to stakeholders in the interpretation of policy and procedures, analyzing requests and prescribing follow-up and action, and communicating information on behalf of the Superintendent.
ESSENTIAL JOB FUNTIONS FOR SUPERINTENDENT AND BOARD OF EDUCATION
- Utilizes current technology to complete tasks
- Maintains accurate records of all Board of Education Meetings and develops monthly Board agendas
- Manages the communication needs, records, and calendar
- Prepares a variety of documents including, but not limited to: comprehensive reports, agendas, abstracts of factual data, inquiries, letters
- Coordinates attendance and travel arrangements for local, district, state, and national meetings/conferences
- Reviews incoming correspondence to be informed of superintendent's needs and activities
- Liaison with NCSBA to ensure accuracy of policy manual
- Reviews and ensures accuracy of outgoing correspondence, records, and/or reports
- Performs all accounting tasks relative to the Superintendent's Office
- Attends all Board meetings (regular, works sessions, special called meetings) prepares agendas and maintains minutes
- Works as a liaison with the School Board Attorney
- Processes Board documents for Chairman's signature
- Responsible for dissemination of incoming and outgoing correspondence
- Maintains district calendar
- Receives, directs, and places phone calls
- Maintains file on all training credits
- Serves as contact person for dissemination of information from NCSBA, NSBA, etc. and provides data as requested
- Updates EDDIE (Educational Directory and Demographical Information Exchange)
- Maintains advisory council minutes for schools and member terms
- Plans, coordinates, and oversees special initiatives as determined by Superintendent
KNOWLEDGE, SKILLS, AND ABILITIES
- Must have fluent written and verbal communication skills
- Must be able to perform under stress and maintain calm during emergency situations
- Extensive organizational skills
- Extensive knowledge of office practices and procedures
- Ability to promote good relationships internally and with the public
- Ability to exercise sound judgment in resolving problems
- Ability to plan and organize work/multiple activities
- Certified Notary Public
MINIMUM TRAINING AND EXPERIENCE
- Extensive, broad, and intensive experience in an office environment with responsibility for a large variety of complex duties
- 4 year degree preferred, not required
PHYSICAL REQUIREMENTS
Must be able to physically perform the basic life operational functions of grasping, talking, hearing, and repetitive motions. Must be able to perform sedentary work exerting up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull, or otherwise move objects. Some positions assigned to this class may require light work exerting up to 20 pounds of force occasionally, and/or up to
10 pounds of force frequently, and/or a negligible amount of force constantly to move objects.
