Job Description: We are seeking a highly organized and detail-oriented Executive Assistant to provide high-level administrative support to senior leadership. This role involves managing complex projects, coordinating meetings, and ensuring efficient office operations.

Key Responsibilities:

  • Provide comprehensive administrative support to senior executives, including calendar management, travel arrangements, and correspondence.
  • Coordinate and manage board meetings, including logistics, agenda preparation, and minute-taking.
  • Prepare and distribute meeting materials and ensure follow-up on action items.
  • Manage office operations, including purchasing supplies and processing mail.
  • Utilize Eventbrite for event registration and coordination.
  • Create PowerPoint presentations using data from Excel.
  • Manage expense reports and provide general office support.
  • Assist with newsletter creation and distribution via Mailchimp.
  • Maintain accurate records and databases.
  • Support the coordination of workshops and training events.
  • Maintain website content.
  • Ensure confidentiality of sensitive information.

Qualifications:

  • 3-5+ years of administrative assistant experience supporting senior executives.
  • Experience in the non-profit sector is highly preferred.
  • Bachelor's degree preferred.
  • Proficiency in MS Office Suite (advanced Excel and PowerPoint skills), Zoom, and Teams.
  • Strong business acumen and professional communication skills.
  • Must have experience working in a medium sized organization, and not a very large corporate environment.
  • Ability to proofread and summarize written materials.
